Microsoft Outlook Integration

How to set up and use the direct integration with Microsoft Outlook to bring meeting times into Produce8.

About Microsoft Outlook Integration and "Scheduled Meetings"

Microsoft Outlook is one of the calendar tools you can integrate directly with Produce8, providing a comprehensive view of your scheduled events alongside your digital activity. This integration enables you to distinguish between planned and actual activities throughout your day.

The Produce8 Browser Extension and Desktop Extension allow you to connect to Microsoft Outlook Calendar and follow the number and duration of your interactions/views with Microsoft Outlook. In addition the direct integration provides an additional data point:

  • Scheduled Meetings - time spent in internal or external planned calendar entries is shown on user Timeline, and is used to calculate Workspace Metrics, Daily Insights, and Goals. 

Adding The Microsoft Outlook Integration To Your Account

If you don't already have a Microsoft Outlook app in your Produce8 account, then follow these steps to create a new app.

If you have already a Microsoft Outlook app in your account, then skip to the next section to add the Direct Integration (Calendar Events) to the existing app.

  1. Navigate to the Apps Settings page in your Produce8 account by clicking your sidebar menu button at the top left corner, and selecting Apps & Categories
  2. Click Add an App.

  3. On the next screen, use the search bar to find Microsoft Outlook, then select it by clicking the checkbox and click Create 1 App.

  4. Choose the Workspace(s) that you want Microsoft Outlook Calendar Events activities to be displayed in, then click Add to Workspaces at the bottom of the page.

  5. Success! Now that you've created the Microsoft Outlook App, click Configure to complete the authorization flow to connect to your Microsoft Outlook account. (Skip to the Authorizing the Microsoft Outlook Integration section below.)

Adding The Direct Integration To An Existing Microsoft Outlook App 

Follow these steps if Microsoft Outlook has already been added to your Produce8 account. 

  1. Navigate to your Finish Your Setup tile at the bottom of your sidebar menu and select Connect Your Calendars.
    1. Then find Microsoft Outlook under Calendar Data and select Get Connected.

  2. Navigate to the Apps settings page in your Produce8 account by clicking your sidebar menu button in the top left corner, and selecting Apps & Categories.
    1. Find and click on Microsoft Outlook in the list of apps.
    2. Click Get Connected next to Direct Data Sources.

  3. Select Approve your Microsoft Outlook Connection and follow the steps in the next section of this article.

Authorizing The Microsoft Outlook Integration 

  1. When you Configure/Approve your Microsoft Outlook connection, you will be redirected to the Microsoft login page.

  2. Next, follow the prompts to sign in with Microsoft.
  3. On the confirmation screen, click Allow to give Produce8 permission to connect to your Microsoft Outlook Calendar.

  4. Pick your Calendars that you want to include. Select Done when finished.

  5. Success! Click Close on the confirmation screen.
  6. You will now see your Direct Integration Sources in the Microsoft Outlook App under Direct Data Sources.

Removing the Microsoft Outlook Integration

In order to remove the Microsoft Outlook integration:

  1. Navigate to the Apps settings page in your Produce8 account by clicking your sidebar menu button in the top left corner, and selecting Apps & Categories.
  2. Find and click on Microsoft Outlook in the list of apps.
  3. Click the ellipses (...) to the right of Direct Data Sources and select Delete My Connection.

  4. Select Yes, Delete My Connection on the confirmation screen.

  5. Watch for the green Hooray! message for confirmation that you've successfully disconnected. This means that Produce8 can no longer receive your Microsoft Outlook Calendar Events data.

Using Microsoft Outlook "Scheduled Meetings" Data

Scheduled Meetings "Daily Insight"

With our calendar app direct integrations (Google Calendar and Microsoft Outlook), we've introduced a new metric, Scheduled Meetings. Your time in planned external and internal meetings will be included in the Scheduled Meetings metric on your Produce8 Homepage, categorized under Your Time Breakdown.

As with other Personal Insights, you can use the date picker to view previous days and/or toggle between Daily and Weekly totals.

Scheduled Meetings Time Series 

There are two ways to to view your Time In Meeting details:

  1. Click the Scheduled Meetings tile on your Personal Insights dashboard on your homepage in the Produce8 web app.
    1. The graph illustrates the total Scheduled Time in Meetings aggregated daily and weekly, encompassing focus time, internal, and external meetings. You can utilize the dropdown menu on the left to toggle between daily, weekly, or specific weekday views.
    2. You have the flexibility to view your data over several time intervals ranging from 1 week to 3 months.

  2. Additionally, within the Top Apps list, a dedicated tab for Calendar Events will mirror the data provided in the Scheduled Time in Meetings Time Series. Use the dropdown on the right to toggle between Total Meeting Duration, Total Meetings, and Average Meeting Duration.

Setting Goals For Scheduled Time in Meetings

There are two ways you can set Goals for Scheduled Meetings. For more details on setting Goals, click here.

  1. You can set a Goal to target a maximum or minimum time in meetings per day or week.

  2. By selecting App Usage and selecting Microsoft Outlook, you can set a Goal for Time in App, Scheduled Meetings, or App Views.
